In many salons the hours aren't fixed: one week Ana opens in the morning and Eva closes in the evening, and the next week they swap. It's fair, because nobody always gets stuck with Friday evening, but it has a hidden cost: somebody has to redo the rota every Monday. And the day it's forgotten, the diary offers a 10 o'clock appointment with someone who doesn't come in until 3.
With an assistant that books over WhatsApp the problem grows, because it's no longer just your diary: it's what your clients see and book at any hour. That's why in ClaudIA shifts aren't redone: they're set up once and change by themselves.
How to set it up, in five minutes
In Team, «Shifts» tab:
- The shifts and their hours. For example «Morning», Monday to Friday 9:00 to 15:00 and Saturday 9:00 to 14:00, and «Afternoon», Monday to Friday 15:00 to 21:00. A day you don't tick, that shift doesn't work.
- The cycle. How many weeks it repeats over (with two, it's «one week each shift») and which week this is. You don't need to remember when the rotation started: just say who is on mornings this week.
- Who rotates. You tick each person in the rotation and choose which shift they work each week of the cycle, or «Day off». Anyone who doesn't rotate keeps their usual hours.
- One-off changes. Two colleagues swapping shifts, someone working a full day on a busy wedding Saturday, a day someone takes off. You note it with its date and that day the change rules.
- The preview. Before saving you see how the next eight weeks look, person by person. It's exactly what ClaudIA will offer.
What changes by itself every week
| Rota redone by hand | Rotating shifts | |
|---|---|---|
| The times the assistant offers | Those of the rota that was entered, even if it's last week's | Only the hours of each stylist's shift that week |
| The diary | You have to check the rota to know who's in | It shades out what isn't theirs |
| Colleagues swapping shifts | The rota is redone and undone the next day | One dated, one-off change and that's it |
| Holidays | One more exception to remember | They take priority over the shift, with nothing to touch |
| Clock-in | Flags «not clocked in» for whoever is off | It knows who works each day |
What isn't lost
Each person's weekly hours stay saved. While shifts are switched on, the shift rules; if you ever switch them off, everyone goes back to their usual hours with nothing to set up. And if someone in the rotation leaves the team, the screen warns you so you can take them out, instead of leaving a half-finished shift.
Why it matters more than it seems
A rota that doesn't add up doesn't show on paper: it shows in the client who booked at 10 with a stylist who wasn't in, and who arrives to find someone else or, worse, nobody. That mistake is paid for in trust, which is the hardest thing to win back in a salon.
With shifts inside the diary, the assistant books every appointment with whoever is really in that day, at eleven at night too, and in the week nobody remembered to check the rota. It's the same idea as a well-organised diary with several professionals: the salon's rules live inside the system, not in the head of whoever opens up in the morning.
And if your team clocks in, shifts close the loop: staff time tracking knows who works each day and doesn't chase whoever is off.
