Session packages that actually pay off

The session package is the salon's financial product: cash today, service tomorrow, and a client committed for months. Well designed, it's the most powerful loyalty tool there is; badly designed, it's an elegant hole: discounts that give away your margin, phantom sessions argued over at the counter, and a liability of owed services nobody ever counted. The difference between those two fates comes down to four design decisions. Here they are.

Decision 1 — Which services to package (not all of them work)

Packages work with services that are recurring by nature: the ones your client already repeats, or should repeat to see results. The classic winners: hair treatments in courses (hydration, hair-loss — 5 or 8 sessions), manicures (the perfect recurring service), blow-dries for whoever goes out every Friday, and beauty courses. The conceptual mistake: packaging the cut or colour of your fixed monthly client — she was coming anyway; the package only gives her a discount on what she already bought. A package should create frequency or bring it forward, never discount the frequency that already existed.

Decision 2 — The price (this is where you win or lose)

Healthy formula: a 5-session package = the price of 4.25-4.5 single sessions (a 10-15% discount). A £30 session → a 5-session package at £130-135, not at £99.

The temptation of the big discount (30-40% off, the two-for-one on Instagram) has a structural flaw: the people who buy packages are your most loyal clients — an aggressive discount attracts nobody new, it just turns your best buyers into half-price buyers. 10-15% is the point where paying in advance is worth it for both of you: she saves something real, you get paid today, you lock in five visits and the margin survives. And use an odd number of sessions (5, not 6): finishing on an «incomplete» number makes the renewal happen by itself.

Decision 3 — The rules of the game, in writing

Three terms, communicated at the point of sale (on the receipt, in a message — leave a trail): an expiry of 6-12 months («so you actually get the benefit of it» — the eternal package is a ghost in your accounts and a postponed argument commercially); personal or transferable (you decide; transferable is a nice touch and brings new faces in); and what happens to what's unused (standard: it expires; elegant: 30 days of grace with a warning beforehand — and that «you have 2 sessions expiring this month» message is, by the way, a spectacular appointment generator).

Decision 4 — Tracking usage (the notebook kills packages)

Half the package disputes in this trade start the same way: the client counts 3 used, the salon's notebook says 4, and at the counter everybody loses — the relationship most of all. The absolute rule: one single record, automatic and visible to both of you — the session deducted from her record when she books or pays, a balance she can check, zero parallel bookkeeping. The tax note (short but unavoidable)

Selling a package means taking payment in advance, and advance payments have their own treatment for sales tax — and it varies from country to country and by the type of package. Don't settle this from hearsay: always issue the receipt, and ask your accountant how to declare them in your case. Two sentences from them will save you a fright at an inspection.
