Informed consent at the beauty clinic: signed from the phone and there when you need it

Some treatments need a signed form before you start: micropigmentation, a laser session, radiofrequency, a bleach with a risk of reaction. In almost every clinic that form is a printed sheet the client signs at the desk, in a hurry, and that ends up in a folder. When one day you need to show it, you have to go looking for it.

The trouble with the form at the desk

Consent exists so that the client understands what she is agreeing to. Signed standing up, with the room ready and somebody waiting behind, it gets read very little and understood even less.

And it has another problem for the business: a signed sheet doesn't say which version of the text was read. If the text changed six months ago, nobody knows which one each client signed.

What has to be kept

An «accepted» isn't enough. What's worth keeping is whatever lets you answer, a year later, the question «what exactly did this client sign?»:

If you change the consent text, what has already been signed must still count for what was signed: the change creates a new version, it doesn't rewrite the past.

Signing it at home, before the appointment

The simple alternative is to send the consent before the appointment, through a private link. The client opens it on her phone, reads it calmly, asks about anything she doesn't understand and signs it. On the day there's no paper to look for: it's in her record, with the exact time it was signed.

With ClaudIA the text is written once and assigned to the services that need it. From each client's record you prepare hers, already filled in with her name and service, and send her the link on WhatsApp. She opens it with the last four digits of her phone number, reads it and signs it with her name and a tick box. The link expires after 30 days.

Before and after photos

Progress photos are part of the job in aesthetics: how a micropigmentation settles, the result of a facial treatment. With ClaudIA, the photos a client sends on WhatsApp are marked as «before» or «after» and saved in her record, by date, without copying anything by hand.

Keeping them in the record is one thing; posting them on Instagram is another, and for that you need the client's express permission for that use.
