Running your salon from WhatsApp: the orders you can actually give an assistant

It's half past nine, your hands are in a colour and the salon phone rings. It's Carmen: she can't make Friday at twelve, could you give her five o'clock? You say yes, make a mental note and carry on. And that's where the trouble starts, because that mental note has to survive three clients, two phone calls and a delivery that turns up mid-afternoon.

The usual answer is to open the software when you can. But «when you can» in a salon is a moment that doesn't arrive until closing time, and by then you've forgotten half of it.

What's changed: replying in the chat you already have open

If your assistant alerts you on WhatsApp about what's happening in the business — an emergency, a client asking for you, the daily summary — you already have a conversation open with it on your phone. What's new is being able to reply in that same chat with what you want it to do: «move Carmen to five o'clock on Friday». And for the appointment to actually move. Nothing to open, no password to find, no waiting until eight in the evening.

The difference between a mental note and an order given isn't memory: it's that the order is carried out the moment it occurs to you, which is the only moment you're sure to remember.

The five orders that make sense

An assistant doesn't need to do everything by chat. It needs the five things you ask for with a full salon: move an appointment, book a new one, cancel (with the client told, which is the part nobody does in time), block off a slot in the diary, and message a client («tell Ana she left her coat here»). Everything else — reports, campaigns, prices — is better done sitting in front of the dashboard. These five aren't: these are the ones you lose if you can't do them on your feet.

What really matters: what happens before it acts

This is where the serious tools part company from the frightening ones. An assistant that gets «move Carmen» and moves her straight away is a risk, not a convenience: you only need two Carmens, or to type in a hurry, for the appointment that moves to belong to somebody else.

What it should do is send back exactly what it is about to do: «Carmen López: Friday 29th at 12:00 → Friday 29th at 17:00 (colour and cut with Rocío). Shall I move it? If you say yes, I'll let her know about the change.» Full name, time before and time after. If you got muddled, you see it there and say no. If there are two Carmens, it has to ask you which one instead of choosing for itself.

And one condition almost nobody thinks about: that confirmation has to expire. If you reply «yes» the next morning because the message went unread, the last thing you want is an appointment moving when you've already solved it another way. Ten minutes is a sensible window: about as long as you hold something in your head.

What this isn't

It isn't an assistant that «runs your salon on its own». Your judgement still decides: you ask, you confirm and you can say no. What changes is that you can now decide in the moment instead of piling decisions up for the end of the day. And if one day you don't want it acting at all, it has to be stoppable with one sentence. How to try it without risk

Start with the reversible. In the first week, ask only for diary blocks and the odd time change: if something comes out odd, it's undone in two clicks. Once you see that the proposal it sends back always says what you meant, move on to cancellations and messages. And look at the log at the end of the week — not to be suspicious, but to count how many things you sorted on your feet that would previously have waited until eight in the evening. That number is what decides whether this is worth it for you.
