We've all been there: a real problem, a customer service chat, and a bot answering in circles while you type «HUMAN. PERSON. AGENT.» in capitals. That experience — the loop with no way out — is the number one reason salon owners distrust putting an AI on their WhatsApp. And they're right to distrust it: an assistant without a good exit to a human is a trap for your clients.
The answer isn't to give up on AI. It's to demand that it does the hardest thing of all: recognise when it shouldn't carry on.
The three signs that it's time to step aside
A well-mannered assistant steps aside, without arguing, in three situations:
- You're asked. «Can I speak to somebody?» isn't negotiated and isn't answered with «what else can I help you with?». It's answered by stepping aside.
- Somebody is upset. A complaint about a colour, an annoyed tone, a client who's hurt. Judgement and tact there are yours, not a machine's.
- It isn't getting anywhere. If after several attempts the assistant can't sort out what's being asked, insisting only makes it worse.
In any of the three, ClaudIA does what a receptionist with judgement would do: it says goodbye warmly («somebody from the team will be with you shortly»), stops replying in that conversation and passes you the baton.
The baton has to reach your hand, not the void
Stepping aside is the easy half. The other half is that you find out, and that's where most systems fail: they pause the bot and the conversation is orphaned in an inbox nobody looks at.
ClaudIA organises the handover through two channels that complement each other:
- An alert as it happens: a message to your phone with who needs attention and why («Maria — complaint about a colour»). It reaches you while it's happening, not once it's too late.
- The bell in the dashboard: every escalated conversation and every call to return is left as a pending task, with a direct link to the chat and a «done» button. If the phone alert caught you elbow-deep in a colour, the task is still there waiting.
On the phone, the same principle: if somebody asks for a person during a call, ClaudIA says goodbye telling them they'll be called back, and notes down the real number and the reason for you. You ring back when you can — with context, not blind. One thing to be clear about: the voice assistant runs today on a Spanish number, so it's available in Spain; everything on WhatsApp and Instagram works the same anywhere from day one.
The detail that closes the circle
When you've finished looking after that client, you switch ClaudIA back on in her conversation with one tap and everything returns to normal: she'll still be able to book at eleven at night, and you'll still only hear about what genuinely needs you. That division of labour — the machine for the volume, you for the judgement — is exactly what makes an AI add something in a business where the personal touch is everything.
