A waiting list at the salon: filling a cancellation without calling anyone

Almost every salon has a waiting list somewhere: a sticky note by the till, a note on the phone, the memory of whoever is on the desk. And almost none of them use it, for a very simple reason: when somebody cancels their eleven o'clock at nine in the morning, nobody has ten minutes to call four clients while doing a blow-dry.

What a cancellation nobody fills really costs

An appointment cancelled two hours ahead isn't the problem of the client who cancels: she let you know. The problem is that the slot stays empty while somebody else wanted it. A colour, a cut or highlights that don't happen that day, with the stylist free and the chair empty.

A cancellation isn't a lost hour. It's only a lost hour if nobody offers it to whoever was waiting.

How people get on the list

A waiting list works if joining it is as easy as booking. When a client asks for Saturday morning and there's nothing left, instead of sending her off with «we'll let you know», you offer to put her on the list with the service she wants and the day that suits her.

With ClaudIA that happens in the same conversation, whether she messages on WhatsApp or calls: it tells her that day is full, offers the first free time and, if that doesn't work, puts her on the list. Before offering the list it checks the diary again, so nobody is put on a waiting list when there is a free time.

What happens when someone cancels

As soon as the time is free, ClaudIA messages the first person on the list who fits it, on WhatsApp. Only one: offering the same time to three clients at once leaves two of them feeling they rushed for nothing.

That message takes priority over campaigns in WhatsApp's daily allowance of new conversations, just like appointment reminders: even if the salon has written to a lot of people that day, the waiting-list message still goes out.

What to keep an eye on

A list nobody reviews fills up with people who have already booked elsewhere. A look now and then at the dashboard, where you can see who is waiting, what they asked for and since when, is enough to keep it clean.

And the waiting list doesn't replace what prevents cancellations in the first place: the appointment reminder with enough notice, and being able to move the appointment by message instead of not turning up. The three together are what keep the diary full.
