New client records every month, yes. But while you're looking ahead, clients you already had are slipping out the back door — people who simply stopped showing up. They didn't fall out with you: they lost track. And winning them back is far cheaper than finding new ones.
First: who is genuinely «asleep»?
Mistake number one is treating everybody the same. A dormant client isn't measured with a single stopwatch, because every service has its own rhythm:
- Colour, highlights, roots: the natural cycle is 4 to 8 weeks. Two months without seeing her is a clear signal.
- Nails: 3-4 weeks and it's already time.
- Cuts: looser, 6 to 10 weeks depending on the style.
Applying «three months for everyone» annoys the person whose turn hadn't come and arrives late for the one who has already tried another salon. The threshold has to go by type of service.
Second: the message that brings her back (and the one that scares her off)
A good reactivation message sounds like your salon, not like a circular:
- Her name and a warm tone, the way you'd speak to her face to face.
- A specific reason: «your colour is due a touch-up», «we haven't seen you for a couple of months».
- No aggressive discounts up front: two-for-one hooks bargain hunters who never come back at full price. A warm message, well timed, is what actually builds loyalty.
Third: don't burn your number
This is the real risk. Messaging a hundred clients in one go, with odd links or to people who weren't expecting to hear from you, is the fastest way to get your number flagged by WhatsApp. Reactivation done properly is spaced out, aimed only at whoever it makes sense for, and keeps a human tone.
