Running the salon's WhatsApp without living glued to your phone

You finish with a client, you look at your phone: 14 WhatsApp messages. You answer three between colours, the rest «later». At quarter past ten, on the sofa, you answer the others — and the «any space on Saturday?» from twenty to six booked somewhere else hours ago. WhatsApp has become the trade's number one booking channel and, at the same time, the number one source of stress for owners. Let's fix it with a system, from least to most automation, so you choose how far to go.

The rule that changes everything: speed is the booking

Somebody asking about a slot isn't only writing to you: she has two or three salon chats open and she'll book with the first one that answers. So the problem isn't «do I answer every message» (you do, sooner or later) but *when*: every hour of delay is a huge chance that the appointment already lives in somebody else's calendar. Quarter past ten on the sofa isn't replying — it's doing archaeology on lost bookings.

The target for your system: a first reply within 5-10 minutes during opening hours — and some reply, even an automatic one, outside them.

Level 1 — Squeeze WhatsApp Business (free, 30 minutes to set up)

If you're still on ordinary WhatsApp, move to WhatsApp Business (free, same number) and set up: a complete business profile with your hours, a catalogue or a linked price list, quick replies for the ten eternal questions (prices, hours, parking, «do you do keratin?») that you insert with the «/» key, and an away message outside hours that manages expectations («Thanks for writing! We'll get back to you tomorrow from 9:30»). Zero cost, and you already look twice as professional. The honest limitation: none of this *answers* for you — it only makes you faster when you answer.

Level 2 — A team method (so it doesn't depend on your memory)

Three operating rules that work in real salons: (1) WhatsApp shifts — in each part of the day one person is responsible for watching it (whoever has a blow-dry or is waiting on a colour), not «everybody and nobody»; (2) the salon phone stays in the salon — a shared handset stops bookings living on somebody's personal phone; (3) no «read with no reply» — even «Hi! Let me check and I'll confirm a slot in 10 minutes» keeps the client in your chat and not in the one across the road. This level works… until the busy day, a colleague's holiday, or nine in the evening. It always breaks in the same place: you're people, and you're working.

Level 3 — Let the WhatsApp answer itself (properly)

This isn't a menu chatbot («press 1 for appointments») that exasperates everybody, but an AI assistant: it understands «hiya it was about the balayage with Sara friday afternoon», checks the real openings in your calendar, replies in your tone and closes the booking inside the conversation — at eleven at night too, in August too, and when you're rammed too. Reminders, changes and cancellations run on their own through the same channel, and you see it all from a dashboard where you can pause the AI and reply yourself when a subject deserves it. That's how booking over WhatsApp works: your usual number, your history, unlimited conversations — and your ten o'clock sofa free of archaeology.
